Privacy policy

The short version

This policy explains what personal information Plybook collects, why we collect it, and what you can do about it. We only collect what we need to run the service, we do not sell your information, and you can ask to see or correct what we hold.

Plybook is run by Studio Kaiju Pty Ltd ABN 79 642 047 489 ("Plybook", "we", "us", "our"). We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Who this applies to

This policy covers personal information about individuals. It does not cover information about a business itself, but it does cover information about the people in that business that we store.

If you give us personal information about someone else (for example, you add a signer to a contract), you are confirming you have their okay to share it with us for that purpose. Plybook is not for children. Our service is meant for people aged 18 and over.

What we collect

Your details, like your name and email address when you set up an account. Signer details, being the name, email and mobile number you add for people who need to sign a contract. Payment details: when you buy credits, our payment provider handles your card, and we only keep limited details like the last four digits and the card expiry.

We also collect basic usage information, such as your IP address, browser and device type, and which pages you use, so we can keep the service running well. And we keep any messages you send us, like a support email.

How we collect it

Most of the time we collect information directly from you, when you sign up, send a contract, make a payment or contact us. We may also collect some technical information automatically through cookies and analytics when you use our site. You can manage cookies in your browser settings.

How we use it

We use your information to set up and run your account, to create, send and store your contracts, to take payment and send you a tax invoice, to confirm who is signing a contract, to answer your questions and provide support, to send you important service messages (you cannot opt out of these, as you need them to use Plybook), and to meet our legal obligations.

We will only use your information for the reason we collected it, or for something closely related that you would reasonably expect, unless you have said it is okay or the law requires it.

When we share it

We do not sell or rent your personal information. We do not share it with unrelated third parties. We do use trusted providers to run Plybook, and we share only what they need to do their job. These include Annature (Australia), our e-signature provider; Stripe, to process payments; [your email provider], to send contract notifications and emails; [your SMS provider, if any], to send signing links by text; and [your hosting and analytics providers].

Please confirm this list and add or remove providers so it matches your actual stack. This is the most important section to get right, since it has to be accurate.

We may also have to share information where the law requires it, where we believe someone is involved in fraud or unlawful activity, or if we sell or transfer the business (in which case we will let you know first).

Where your information is stored

Some of our providers store data outside Australia. Where that happens, we take reasonable steps to make sure your information is handled with care and in line with this policy.

Keeping your information safe

We use reasonable security measures, including encryption, to protect your information. No system is ever completely secure though, so we cannot promise it. If you ever think your information has been accessed or misused, please tell us straight away.

If a data breach happens that is likely to cause you serious harm, we will let you know and notify the regulator, as the law requires.

Seeing, correcting or removing your information

You can update most of your details from inside your Plybook account. You can also ask us to see the personal information we hold about you, to correct anything that is wrong (we will fix genuine errors within a reasonable time), or to delete your information. We will do this where we can, but sometimes the law requires us to keep certain records, or we need them to keep providing the service.

Cookies

We use cookies to make the site work and to understand how it is used. You can turn cookies off in your browser, but some parts of the site may not work as well if you do.

Complaints

If you are not happy with how we have handled your information, email us at plybookapp@gmail.com and we will work with you to sort it out. If we cannot resolve it together, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

We may update this policy from time to time. We will post any changes on this page, so it is worth checking back now and then.
