What is a project handover document?
A project handover document is a record of everything you're delivering to the client at the end of a project. It lists all final files, login credentials, documentation, and instructions - so the client has everything they need to use and maintain the work going forward.
A clean handover is the mark of a professional freelancer. It reduces post-project support requests and gives you a clear endpoint so you're not fielding "quick questions" for months after the invoice is paid.
When should you use one?
At the end of every project, alongside your final deliverables. It's especially important for web development, branding, and any project where the client needs to manage or update the work themselves.
What's included
Deliverables checklist - every file and asset being handed over, with file names and formats.
File organisation - where everything lives. Folder structure, naming conventions, and file storage location.
Login credentials and access - all accounts, hosting, CMS logins, and third-party service credentials the client needs.
Documentation and guides - how-to instructions for anything the client needs to manage themselves.
Support terms - what post-project support is included (if any), how to reach you, and your availability window.
Final sign-off - client confirms receipt of all deliverables, which triggers final payment and formally closes the project.
